Guidelines for B2B Meeting Participants
- Access to B2B Portal is restricted to the registered participants of the IETF 2025.
- This Portal is limited for online scheduling of the business meetings. Business Meetings will be held in face-to-face mode at the Bharat Mandapam of the Exhibition.
- Registered participants of the Exhibition will receive login credentials to access this Portal. Post login, user must update/complete their personal profile, company profile, Sectors of Interest and objective of Meeting and upload a recent photograph before scheduling meetings.
- For meeting with Exhibitors, you may select meeting point as Exhibition Booth.
- Kindly note that CII does not share your contact details with other participants. In case you want to share your contact details with other participants, you may provide details in the message box.
- Use your Username and Password to Login to the Online B2B Portal https://ietf.b2bmeeting.in/.
- After logging in, update your company / organization profile, personal profile, Sectors of Interest and objective of Meeting and upload a recent photograph. This will help other participants understand your areas of interest and schedule B2B meetings with you.
- To schedule a B2B Meeting, access the list of Registered Participants by clicking on 'List of Participants' menu in your dashboard. You can also search participants using parameters such as Name, Company Name, and Sectors of Interest, etc.
- In the participant list page, you can view the profile of each participant and shortlist them for sending meeting request.
- To send a meeting request to participants, click on the link 'Request Meeting' appearing next to participant you would like to schedule a meeting with. In the pop up window, select the proposed date, time and the meeting table.
- Participants can get a status of the B2B meetings in their dashboard. Click on an appropriate option to get details as well as accept, reschedule / cancel a meeting request.
- You will be getting email alerts on the email ID provided by you on all the meeting requests / updates related to you.
- Click on the 'My Meetings' option to view your Meetings Schedule as well as to download the schedule in the pdf format.
- You can also showcase your project / product profiles in 'Project Proposal' Section which will be visible to all the participants.
- Based on your interest areas and profile, participants of the Exhibition may send meeting request to you. You have the option to accept and reject meeting requests. No action from your end will show pending request.
- Post your acceptance to the meeting requests, you will be able to meet the meeting requestee on the table allotted to you at the B2B meeting venue on the scheduled date and time.
- If you do not wish to auto accept meeting requests, please disable 'Auto Accept Meetings' which is available under 'My Profile'.
- Login to the B2B portal once a day to update your profile, schedule/reschedule meetings, confirm/cancel pending requests.
- Value the time of your Requestee/Receiver with whom you have confirmed meeting(s) at the venue.
- Please inform your meeting Requestee/Receiver or B2B Coordinator in case you are not available for the scheduled meetings(s).
- At the venue, we will facilitate required logistics to smoothly conduct your meetings.
- Reach the venue before time - at least 5 minutes before the scheduled meeting time - and wait for your turn in the waiting area if the allocated table is already occupied.
- Share your visiting card with B2B Coordinator/Volunteers at the Venue to assist you.
- Take a print out of the confirmed meeting schedule from the portal and keep it handy with you.
- Call your meeting Requestee/Receiver and get their availability status for the meeting well in advance.
- Meet at the allocated meeting table only.
- Do not change your meeting table other than allocated table at the venue.
- Finish your meeting well in time to allow next participants to conduct their meeting.
- Each meeting is slotted for 15 minutes only. Close your meeting(s) as per schedule and stay within the allotted time.
- Over staying is not allowed.
- Contact on-spot B2B Coordinators/Volunteers in case you need any assistance.
- Fill in the Feedback Form before you leave the table.
- CII does not guarantee you the availability of meeting slots and confirmation to any meeting request sent by you to the participants.
- Meeting slots are subject to availability of meeting tables, date and time.
- CII will not be responsible for cancelation of meetings by the other party or in case the other party does not turn up for the confirmed meeting at the venue.
- CII will ensure facilitation of B2B meetings at the venue between both the confirmed parties if they are present.
- CII reserves the right to cancel B2B meetings, change time slots, duration and meeting venue.
